GEO Conference 2003 - Exhibiting Information

Exhibitor Registration

The 2003 GEO annual conference will include an exhibitor area of approximately 30 booths. The intent of the exhibit area is to complement the session presentations that introduce the issues and concepts encountered with global stock plans. The exhibition area then allows participants the opportunity to gain exposure to the services and products available for them to handle these issues.

Each booth is a standard 3m x 3m hard panel matrix booth. Due to the panel designed booth walls, exhibitors are able to integrate marketing and informative materials directly into or on the paneled walls. (Refer to the additional booth items available when you receive your Exhibitor Guide mailer). We strongly recommend that you review the booth furnishings and materials available for hire at reasonable rates prior to shipping large, cumbersome displays that are expensive and must be cleared in and out of customs. You are likely to discover that ordering furnishings locally through the Exhibitor Guide is less expensive and more efficient.

Booth Package Options

The terms and conditions of both packages are outlined below. Please note that exhibit space is limited so please inform the GEO offices of your interest as soon as possible.

Standard Package –

The standard package includes 3m x 3m matrix booth, identification signage, booth dividers, and 3 booth only staff attendees. You may have additional booth staff for US$250 per person. Exhibitors will be listed in the conference brochure.

1 Booth (3 booth staff) - US $2,750
2 Booths (6 booth staff) - US $5,200**
3 Booths (9 booth staff) - US $7,500**

** Multiple booth spaces must be reserved and used by the same company. The Cost for Booths is automatically calculated in the registration form.

The exhibit area will be opened the following hours:

Sunday, 6 April 2002
17:00 - 19:00 - Opening Reception

Monday, 7 April 2002
8:00 - 17:00 - Exhibit Hall Open

Tuesday, 8 April 2002
8:00 - 12:30 - Exhibit Hall Open

Wednesday, 9 April 2002
8:00 - 14:30 - Exhibit Hall Open

We have heard from many exhibitors that they would like to attend sessions and have the exhibit area closed during sessions. (See below under "Deluxe Packages" for attendance options for exhibitors.) Other exhibitors would like to do business with their clients, or potential clients, during that same period. In order to respect the wishes of both groups we will not require full time staffing of your booth at the conference. An informal understanding might be that the exhibitor-attendees can leave their booths 10-15 minutes after the start of a session and return 10-15 minutes before the end of the session.

Although the exhibit area will be locked after conference hours, GEO will not be responsible for any items, including computer equipment, left in the exhibit area. Exhibitors are encouraged to remove laptops and valuables from the exhibit area at the end of the exhibit hours for the day.

When registering for your booth(s), please indicate your 1st, 2nd and 3rd space number preference. This layout is subject to slight modifications based on hotel requirements and exhibitor demand. We will respect tall exhibitor requests for booth space if we do modify the layout of the exhibit space. Booth spaces will be assigned on a first come first serve.

Exhibitor Booth Cancellation Policy

Exhibit booths for the fourth annual GEO Conference may be reserved until Friday, 4 April 2003. Booth space is subject to availability on a first come basis. Booths are not considered reserved until payment is received. If you must cancel your exhibit booth we offer a 100% refund of fees until 1 February 2003. Between 1 February 2003 and 15 March 2003 we will refund 1/2 (50%) of the original exhibit booth fee for canceled reservations. After 15 March 2003 there will be no refunds on exhibit booth reservations.

Payment must be received prior to booth confirmation and assignment. All exhibitors are requested to pay for their Exhibitor Registration by check, credit card or electronic transfer. You will receive a confirmation package from our exhibit services coordinator once your registration has been processed. You will need to complete documentation in that package in order for your booth to be set up according to your specifications.
