GEO Conference 2005 - Exhibiting Information

Exhibitor Registration

The 2005 GEO annual conference will include an exhibitor area of approximately 22 booths. The intent of the exhibit area is to complement the session presentations that introduce the issues and concepts encountered with global stock plans. The exhibition area then allows participants the opportunity to gain exposure to the services and products available for them to handle these issues.

When registering for your booth(s), please indicate your 1st, 2nd and 3rd space number preference. This layout is subject to slight modifications based on hotel requirements and exhibitor demand. We will respect all exhibitor requests for booth space if we do modify the layout of the exhibit space.

Booth Package Options

Exhibit space is limited so be sure to register for your preferred space today.  Please note that the Deluxe Package offers a savings of £485 and is only available up until 31 March.  The terms and pricing of booth packages are outlined below. Kindly note: Multiple booth spaces must be reserved and used by the same company. All attendees from the deluxe package must be from the same exhibiting company. The cost for booths is automatically calculated in the registration form.


Standard Package –

Each Standard Package includes: One (1) 3m x 3m booth area, identification signage, and 3 booth staff attendees.

Booth Staff Personnel - Online registration for your 3 booth staff personnel is not necessary. You will be contacted by email closer to the conference date requesting the names of your booth staff attendees. Additional booth staff attendee slots may be purchased during exhibitor registration for £395 + VAT @ 17.5% per person. Additionally, any presenters from your firm/company are considered full conference attendees (not booth staff personnel) and must register for the conference.

Booth staff personnel are welcome in the exhibition area, to all conference meal events, to the opening reception, to the open top bus tour, and to the GEO Awards dinner event (substitutions to evening events are not permitted). Booth staff personnel are not permitted to attend conference educational sessions.

Standard Package Pricing

1 Booth (3 booth staff) - GBP £1,995 + VAT @ 17.5%
2 Booths (6 booth staff) - GBP £3,650 + VAT @ 17.5%

Exhibit Hall Schedule

The exhibit area will be opened the following hours:

Wednesday, 22 June 2005
12:00 - 17:00 - Exhibitor Move In (all exhibits must be fully assembled by 16:30)
17:00 - 19:00 - Opening Reception

Thursday, 23 June 2005
8:30 - 17:00 - Exhibit Hall Open

Friday, 24 June 2005
8:30 - 16:00 - Exhibit Hall Open
16:00 - 23:00 - Booth Dismantle

We have heard from many exhibitors that they would like to attend sessions and have the exhibit area closed during sessions. Other exhibitors would like to do business with their clients, or potential clients, during that same period. In order to respect the wishes of both groups we will not require full time staffing of your booth at the conference. An informal understanding might be that the exhibitor-attendees can leave their booths 10-15 minutes after the start of a session and return 10-15 minutes before the end of the session.

Although the exhibit area will be locked after conference hours, GEO will not be responsible for any items, including computer equipment, left in the exhibit area. Exhibitors are encouraged to remove laptops and valuables from the exhibit area at the end of the exhibit hours for the day.

Exhibitor Booth Cancellation Policy

Booth space is subject to availability on a first come basis. Booths are not considered reserved until payment is received. If you must cancel your exhibit booth we offer a 100% refund of fees until 1 April 2005. Between 1 April 2005 and 15 May 2005 we will refund 1/2 (50%) of the original exhibit booth fee for canceled reservations. After 15 May 2005 there will be no refunds on exhibit booth reservations.

Exhibitor Kit and Order Forms

The Exhibitor Kit with the associated order forms for services, booth furniture and supplies will be posted to the GEO site. You will be able to retrieve this document in Adobe Acrobat Portable Document Format (.pdf) here after it has been posted. Get the free Adobe Acrobat Reader (if necessary).
