Booth Package Pricing & Options

There are 2 types of booth options at the GEO Conference - Deluxe and Standard - and the pricing of each booth type is outlined below. Kindly note, multiple booth spaces and attendees must be reserved and used by the same company.

Deluxe Booth Packages:

Single Deluxe Exhibit Booth - £3,895 + VAT (savings of £485, only available until 30 April)

Includes: One (1) 3m x 3m booth area, identification sign, wireless internet connection, 6 ft skirted table, 2 chairs, 3 booth staff, and 3 full conference attendees.

Double Deluxe Exhibit Booth - £7,150 + VAT (savings of £1,610, only available until 30 April)

Includes: Two (2) 3m x 3m booth areas, identification sign, wireless internet connection, two 6 ft skirted table, 4 chairs, 6 booth staff, and 6 full conference attendees.

Standard Booth Packages:

Single Standard Exhibit Booth - £1,995 + VAT

Includes: One (1) 3m x 3m booth area, identification sign, internet connection, 6 ft skirted table, 2 chairs, and 3 booth staff attendees.

Double Standard Exhibit Booth - £3,650 double + VAT

Includes: Two (2) 3m x 3m booth areas, identification sign, wireless internet connection, two 6 ft skirted table, 4 chairs, and 6 booth staff attendees.



Definition of Attendee Types

Full Conference Attendees – Full Conference Attendees are welcome to participate in:

  • all Educational Plenary and Breakout Sessions on Thursday and Friday;
  • the Opening Cocktail Reception on Wednesday Evening;
  • the Thames River Boat Cruise on Wednesday Evening;
  • the Exhibition Hall on Thursday and Friday;
  • all Conference Meals at the Riverbank Park Plaza on Thursday and Friday;
  • the GEO Awards Presentations and Dinner on Thursday Evening at the Banqueting Hall.

Each full conference attendee must be a member of GEO to attend the GEO Conference and all members are required to create a GEO username and password and register on-line for the conference. All conference presenters are considered full conference attendees (not booth staff) and must register on-line for the conference by 16 March in order to secure their speaker slot. Substitutions of any kind or for any event are strictly prohibited. 

Booth Staff – Booth Staff are welcome to participate in:

  • the Opening Cocktail Reception on Wednesday Evening;
  • the Thames River Boat Cruise on Wednesday Evening;
  • the Exhibition Hall on Thursday and Friday;
  • all Conference Meals at the Riverbank Park Plaza on Thursday and Friday;
  • the GEO Awards Presentations and Dinner on Thursday Evening at the Banqueting Hall (substitutions to evening events are not permitted).

Booth Staff are prohibited from attending Educational Plenary and Breakout Sessions on Thursday and Friday. Online registration for your booth staff is not necessary. You will be contacted by email closer to the conference date requesting the names of your booth staff. All conference presenters are considered full conference attendees (not booth staff) and must register as a full conference attendee by 16 March in order to secure their speaker slot. Substitutions of any kind or for any event are strictly prohibited.

Additional Booth Staff Passes:

Extra Exhibitor Booth Staff passes are available for £395 + VAT
Additional Booth Staff Passes may be purchased during the exhibition registration process.

Complete regulations and guidelines for exhibiting and/or sponsoring will be included in the Exhibitor Kit.

BOOTH PAYMENT

Booth space is subject to availability on a first come basis. Payment for booth spaces must be received within 30 days of reservation. Payments not received within the 30 day timeframe will result in selected booth(s) reverting back into general booth inventory for resale. Booths are not considered sold and will not be assigned until payment is received.

Booth payment will be accepted by credit card, cheque, or wire transfer/EFT.

  • Credit Card Payments – Payment by Visa, MasterCard or AmericanExpress will process automatically during the exhibiting registration process.

  • Cheque Payments – Upon completion of the exhibiting registration form remit cheque (in GBP £) to:

EXHIBITOR-HOSTED EVENTS

Any type of hospitality suite, event or private function scheduled by an exhibitor or sponsor, held either at the Riverbank Park Plaza Hotel or any other venue, may not begin until the conference and exhibition has closed officially for that day and does not conflict with any other conference activity. Any violations will result in exclusion from future GEO events and speaking opportunities.  

EXHIBITOR BOOTH CANCELLATION POLICY

Booth space is subject to availability on a first come basis. Booths are not considered reserved until payment is received. If you must cancel your exhibit booth we offer a 100% refund of fees until 13 April 2007. Between 14 April 2007 and 18 May 2007 we will refund 1/2 (50%) of the original exhibit booth fee for canceled reservations. After 18 May 2007, there will be no refunds on exhibit booth reservations.

SECURITY

Perimeter security coverage of the exhibit hall will be furnished from move-in until move-out of the conference. Exhibitors are responsible for the security of their booth(s) and for any loss or damage to their property during all published show hours. GEO strongly encourages exhibitors to remove laptops and valuables from the exhibit area at the end of the exhibit hours each day. GEO officers, staff, volunteers, the Riverbank Park Plaza and the event decorating company will not be liable or responsible for the property of the exhibitors or participants from damage, theft, loss, fire, accident or other causes. 

INSURANCE

Exhibitor agrees to maintain insurance that will fully protect GEO, the Riverbank Park Plaza, and the event decorating company, from any and all claims of any nature whatsoever, including claims under workers’ compensation, and for personal injury, including death, which may arise in connection with the installation, operation or dismantling of the exhibitor’s booth. Exhibitor agrees to indemnify and hold harmless GEO the Riverbank Park Plaza, and the event decorating company from any such claims.

Exhibit Hall Floor Plan

Be sure to review the exhibit hall floor plan prior to exhibit space registration. During the registration process, registrants will be asked to select a 1st, 2nd and 3rd preference for location within the hall. Booth space will be offered first to sponsors, and then assigned in the order of registrations received. The current layout is subject to modifications based on hotel requirements, exhibit space demand and GEO discretion.

Exhibit Space Registration

Exhibit space is limited so be sure to register for a preferred space today. The 2007 GEO annual conference will include an exhibitor area of approximately 30 booths. The intent of the exhibit area is to complement the session presentations that introduce the issues and concepts encountered with global stock plans.

We have heard from many exhibitors that they would like to attend sessions and have the exhibit area closed during sessions. Other exhibitors would like to do business with their clients, or potential clients, during that same period. In order to respect the wishes of both groups we will not require full time staffing of your booth at the conference. An informal understanding might be that the exhibitor-attendees can leave their booths 10-15 minutes after the start of a session and return 10-15 minutes before the end of the session.


Although the exhibit area will be locked after conference hours, GEO will not be responsible for any items, including computer equipment, left in the exhibit area. Exhibitors are encouraged to remove laptops and valuables from the exhibit area at the end of the exhibit hours for the day.
