Exhibitor Guidelines

Full Conference Attendees are welcome to participate in the following:

  • Plenary and Breakout Sessions on Thursday and Friday
  • Opening Reception on Wednesday Evening
  • Exhibition Hall on Thursday and Friday
  • Conference Meals on Thursday and Friday
  • GEO Awards Celebration
 

Booth Staff are welcome to participate in the following:

  • Opening Reception on Wednesday Evening
  • Exhibition Hall on Thursday and Friday
  • Conference Meals on Thursday and Friday
  • GEO Awards Celebration
All conference presenters are considered full conference attendees (not booth staff) and must register online for the conference by 18 January 2010 in order to secure their speaker slot. Substitutions of any kind or for any event are strictly prohibited.   Booth Staff are prohibited from attending educational plenary and breakout sessions on Thursday and Friday. Terms and Conditions

Eligibility
All exhibitors must be GEO members. Booth space will be assigned on a first-come basis, with the understanding that sponsors will be given priority booth selection. Booths are not considered reserved until payment is received.

Exhibitor Hosted Events
Any type of hospitality suite, event or private function scheduled by an exhibitor or sponsor, held either at the conference hotel or any other venue, may not begin until the conference and exhibition has closed officially for that day and must not conflict with any other conference activity. Any violations will result in exclusion from future GEO events and speaking opportunities.

Cancellation Policy
Cancellation of booth space must be in writing to Michele Holly at michele [dot] holly [at] globalequity [dot] org. Exhibitors who cancel on or before 22 January 2010 will receive a 90% refund of paid fees. Cancellations received between 23 January 2010 and 5 March 2010 will receive a 50% refund. After 5 March 2010, there will be no refunds and exhibitors will be obligated to pay the full amount of any booth reservations.

Security
Perimeter security coverage of the exhibit hall will be furnished from move-in until move-out of the conference. Exhibitors are responsible for the security of their booth and for any loss or damage to their property during all published show hours. GEO strongly encourages exhibitors to remove laptops and valuables from the exhibit area at the end of the exhibit hours each day. GEO officers, staff, volunteers, the Palace Hotel and the event decorating company will not be liable or responsible for the property of the exhibitors or participants from damage, theft, loss, fire, accident or other causes.

Insurance
Exhibitor agrees to maintain insurance that will fully protect GEO, the Swissotel Chicago, and the event decorating company, from any and all claims of any nature whatsoever, including claims under workers’ compensation, and for personal injury, including death, which may arise in connection with the installation, operation or dismantling of the exhibitor’s booth. Exhibitor agrees to indemnify and hold harmless GEO, the Swissotel Chicago, and the event decorating company from any such claims.

Event Cancellation
GEO will not be liable for failure to hold the conference as scheduled due to any acts beyond GEO’s control. Payments for booth space will be refunded in that event. Any actual expenses incurred in connection with the conference exhibition will be deducted if it is cancelled within 90 days or less prior to the opening date due to any acts beyond GEO’s control, which make it impossible or impractical to hold the conference exhibition.

GEO reserves the right to make changes in arrangements as necessary and shall have the final determination and enforcement of all terms and conditions. GEO also reserves the right to review booth contents and to advise exhibitors to make necessary changes to ensure the integrity of the conference is upheld.
