EVENT ATTENDEE TERMS AND CONDITIONS

These Terms and Conditions apply to all individuals who register for, attend or participate in an event organized by the Global Equity Organization (“GEO”), whether in person, virtually or on demand (an “Event”).

By registering for or attending an Event, you agree to these Terms and Conditions. Where you register another person, you are responsible for ensuring that they are made aware of these Terms and Conditions.

REGISTRATION AND PAYMENT

All applicable registration fees must be paid in full in accordance with GEO’s payment terms.

Registration is personal to the named attendee and may not be shared with another person. Substitutions may be permitted in accordance with Section 3 below.

GEO reserves the right to refuse or cancel a registration where payment has not been received, registration information is materially inaccurate, eligibility requirements are not met, or participation would breach these Terms and Conditions or applicable law.

ELIGIBILITY AND EVENT ACCESS

Attendees must comply with any eligibility, membership, age, security or access requirements stated for the relevant Event.

A valid GEO-issued badge or other approved credential may be required to access an in-person Event and must not be transferred, altered or shared.

Certain Event activities may have additional age restrictions. Attendees and guests must be aged 21 or over to attend evening activities at which alcohol is served, unless GEO expressly states otherwise.

GEO may refuse admission or require an attendee to leave where reasonably necessary for safety, security, legal or conduct reasons.

CANCELLATIONS, REFUNDS AND SUBSTITUTIONS

For live in-person and live virtual Events, unless different cancellation terms are stated during registration:

• cancellation 60 days or more before the Event start date: 90% of the registration fee will be refunded;
• cancellation 45–59 days before the Event start date: 50% of the registration fee will be refunded; and
• cancellation less than 45 days before the Event start date: no refund will be provided.

Where a registration can no longer be used, GEO may permit substitution by another eligible person from the same organisation. The substitute must satisfy any applicable Event eligibility or GEO membership requirements. Substitutions must be requested directly from GEO and are subject to GEO’s approval.

Event passes and credentials may not be shared.

For on-demand Events, registration fees are non-refundable once access has been provided.

For regular GEO webcasts, registration fees paid by non-members are non-refundable where the registrant receives access to an on-demand recording following the live broadcast.

GEO may consider exceptional circumstances on a case-by-case basis. This does not create an entitlement to a refund or waiver.

Any Event-specific cancellation or substitution terms expressly displayed during registration will take precedence over this Section.

EVENT CHANGES AND CANCELLATION BY GEO

GEO may make reasonable changes to an Event, including its programme, speakers, sessions, timings, format, venue, technology platform or other arrangements.

Where reasonably necessary, GEO may postpone, relocate, reschedule, convert an in-person Event to a virtual or hybrid format, or cancel an Event.

GEO will endeavour to communicate material changes to registered attendees as soon as reasonably practicable.

If GEO cancels an Event for reasons other than a Force Majeure Event, GEO will communicate the refund, credit or alternative arrangements applicable to registered attendees.

FORCE MAJEURE

GEO will not be responsible for failure or delay in delivering an Event where this results from circumstances beyond GEO’s reasonable control. These may include natural disasters, severe weather, epidemics or pandemics, government action or restrictions, industrial disputes, interruption of transport, venue unavailability, major technical failures, civil unrest, war, terrorism or similar events (a “Force Majeure Event”).

In these circumstances, GEO may cancel, postpone, relocate, reschedule or change the format of the Event.

GEO will notify registered attendees as soon as reasonably practicable. Any refund, credit or alternative arrangements will be determined by GEO having regard to the circumstances and any costs already reasonably incurred or irrevocably committed in delivering the Event.

To the extent permitted by law, GEO will not be responsible for attendees’ associated travel, accommodation or other costs arising from an Event change or cancellation.

PRIVACY AND PERSONAL DATA

GEO processes personal data relating to Event attendees in accordance with its Privacy Policy and applicable data protection and privacy laws.

GEO may process information provided during registration and participation in an Event where necessary to administer and deliver the Event. This may include an attendee’s name, job title, organisation, contact information, country, registration details, dietary or accessibility requirements and information required to provide Event technology or services.

Where attendee information is offered to Event sponsors, exhibitors or other third parties, GEO will only share personal data where permitted under applicable law and in accordance with the information and choices provided to attendees during registration.

Where an attendee voluntarily provides their details directly to another attendee, sponsor or exhibitor — for example by allowing their badge to be scanned, exchanging contact details or using an Event app networking feature — that recipient is responsible for its subsequent use of the information in accordance with applicable law.

PHOTOGRAPHY, FILMING AND RECORDING

Photography, filming, livestreaming and audio recording may take place at GEO Events for legitimate organisational, educational, archival and promotional purposes, subject to applicable law.

Where reasonably practicable, attendees who do not wish to be individually photographed or recorded should notify GEO or the Event team. GEO will endeavour to accommodate reasonable requests but cannot guarantee that attendees will not appear incidentally in general crowd or Event footage.

Attendees must respect any photography or recording restrictions communicated by GEO, the venue, speakers or other rights holders and must not record, reproduce or distribute protected Event content without appropriate permission.

ATTENDEE CODE OF CONDUCT

GEO is committed to providing a professional, inclusive, respectful and safe environment for everyone participating in its Events.

This Code of Conduct applies to all Event participants, including attendees, speakers, sponsors, exhibitors, guests, volunteers, staff and contractors. It applies during Event sessions and activities, social and networking functions, virtual Event spaces and other GEO-organised activities associated with the Event.

Expected conduct

All participants are expected to:

• treat others professionally, respectfully and courteously;
• respect different backgrounds, identities, perspectives and experiences;
• respect personal boundaries, privacy and the property of others;
• comply with reasonable instructions from GEO staff, Event organisers, venue personnel and authorised contractors;
• contribute to sessions, networking and other activities in a way that allows others to participate;
• use Event badges, passes, systems and spaces only as authorised; and
• comply with applicable laws, venue rules and health, safety and security requirements.

Unacceptable conduct

GEO does not tolerate harassment, discrimination, intimidation, threatening behaviour, unauthorised promotional or entertainment activity, or other inappropriate or materially disruptive conduct.

Unacceptable conduct includes, but is not limited to:

• harassment, discrimination or hostile conduct based on race, colour, ethnicity, nationality, sex, gender, gender identity or expression, sexual orientation, age, disability, religion or belief, or any other status protected by applicable law;
• sexual harassment, including unwelcome sexual attention, comments, advances, stalking or physical contact;
• threatening, intimidating, abusive, demeaning or deliberately offensive behaviour;
• deliberate or repeated disruption of speakers, sessions, exhibitors, staff or other participants;
• unwanted photography or recording, or inappropriate disclosure of another person’s personal information, where this breaches a stated restriction, reasonable expectation of privacy or applicable law;
• misuse, alteration, transfer or sharing of Event passes, badges or credentials;
• introducing, organising or participating in any unauthorised entertainment, performance, demonstration, speech, presentation, giveaway, promotional activation or other activity that has not been expressly approved by GEO where approval is required;
• wearing costumes, fancy dress, uniforms or other attire, or engaging in behaviour, that could reasonably be considered offensive, culturally insensitive, discriminatory or materially disruptive, or that could reasonably create the impression of representing, speaking for or being endorsed by GEO, without GEO’s prior written approval;
• promotional, commercial or solicitation activity outside areas or opportunities authorised by GEO;
• conduct that creates a material safety risk or prevents another person from participating in or enjoying the Event; and
• retaliation against anyone who raises a concern in good faith or assists GEO in considering a reported concern.

Sponsors, exhibitors and speakers are responsible for ensuring that their representatives, contractors, content, demonstrations and promotional activities comply with these requirements.

REPORTING CONCERNS AND ENFORCEMENT

Anyone who experiences or witnesses conduct that may breach these Terms and Conditions should report it as soon as possible to a member of the GEO team or through the contact details provided for the Event.

If there is an immediate threat to safety, participants should contact venue security or the local emergency services as appropriate.

GEO will consider concerns as promptly and sensitively as reasonably possible. Information relating to a report will be shared only with those who reasonably need it to assess or respond to the concern, subject to GEO’s legal, regulatory or safeguarding obligations.

Depending on the nature and seriousness of the circumstances, GEO may:

• provide guidance or give a verbal or written warning;
• require particular behaviour or activity to stop;
• require unauthorised materials, displays, clothing, entertainment or promotional activity to be removed or discontinued;
• restrict access to particular activities or areas;
• require a participant to leave the Event;
• withdraw speaking, exhibiting or other participation privileges;
• suspend or prohibit participation in future GEO Events;
• refer a matter to the participant’s organisation, venue security or an appropriate authority; or
• take any other reasonable and proportionate action.

GEO may take immediate action without prior warning where reasonably necessary to protect participants, comply with law, prevent material disruption or maintain the safe and effective operation of the Event.

Where a participant is removed or excluded because they have breached these Terms and Conditions, GEO is not required to refund their registration fee or associated costs unless required by law.

GEO prohibits retaliation against anyone who raises a concern in good faith or assists with the consideration of a reported concern.

ALCOHOL AND RESPONSOBLE BEHAVIOR

Where alcohol is available at an Event, attendees are expected to drink responsibly and comply with applicable laws and venue requirements.

GEO and the venue may refuse alcohol service or take other appropriate action where an attendee’s behaviour presents a safety, welfare or conduct concern.

Attendees remain responsible for their own behavior and personal safety when consuming alcohol.

INTELLECTUAL PROPERTY AND EVENT CONTENT

Presentations, slides, recordings, materials, branding and other content made available through an Event may be protected by copyright, trade mark or other intellectual property rights belonging to GEO, speakers, sponsors or other rights holders.

Unless expressly permitted, attendees may use Event materials for their own personal or internal professional purposes but must not reproduce, publish, distribute, sell, commercially exploit or make recordings of protected Event content without the appropriate rights holder’s permission.

Nothing in these Terms grants an attendee the right to use GEO’s name, logo, trade marks or branding without GEO’s prior written permission.

HEALTH, SAFETY AND ACCESSIBILITY

Attendees must comply with all applicable venue health, safety, security and emergency procedures and reasonable instructions issued by GEO, venue staff or emergency personnel.

GEO aims to provide an accessible and inclusive Event experience. Attendees who require a reasonable adjustment or other accessibility support should notify GEO as early as reasonably possible so that appropriate arrangements can be considered.

PERSONAL PROPERTY

Attendees are responsible for their own belongings and equipment at an Event.

To the extent permitted by law, GEO is not responsible for loss, theft or damage to personal property except to the extent directly caused by GEO’s negligence or where liability cannot lawfully be excluded.

LIMITATION OF LIABILITY

Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation or death or personal injury caused by negligence where such liability cannot lawfully be excluded.

Subject to the above, and to the maximum extent permitted by applicable law, GEO will not be liable for indirect or consequential loss arising from attendance at, participation in or inability to attend an Event.

COMPLAINTS and RESOLUTIONS

GEO is committed to providing a high-quality experience for Event attendees.

Questions, complaints or concerns relating to an Event should be raised as soon as reasonably possible with a member of the GEO team or submitted using the contact details provided for the Event.

Formal complaints may be submitted to feedback@globalequity.org. GEO will acknowledge and consider complaints within a reasonable period and may request further information where necessary.

Concerns relating to inappropriate behaviour may be handled under Section 9 rather than through the general complaints process where appropriate.

GENERAL

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.

A failure by GEO to enforce a provision on one occasion does not waive its right to enforce that provision subsequently.

These Terms and Conditions may be updated periodically. The version applicable to an attendee will ordinarily be the version in effect when the attendee registers for the relevant Event, subject to any changes reasonably required by law, regulation, safety or Event operations.

Where Event-specific registration terms expressly differ from these Terms and Conditions, the Event-specific terms take precedence for that Event.

Nothing in these Terms and Conditions affects any mandatory rights available to an attendee under applicable law.
